Job Overview
Gagare Associates is looking for a presentable, organized, and polite Front Desk Receptionist to handle front-office operations and administrative tasks. As the first point of contact for our firm, you will greet visitors, manage incoming phone calls, maintain front-office decorum, and support day-to-day office coordination.
Key Responsibilities
Front Desk & Visitor Management
Greet visitors, clients, and guests warmly upon arrival, ensuring a professional front-office environment.
Ascertain the purpose of client visits and direct them to the appropriate department or team member.
Maintain the visitor logbook/register with accurate entry and exit details.
Call & Communication Handling
Manage incoming phone calls on the central landline/board line, route calls appropriately, and record clear messages.
Respond to basic client inquiries regarding office hours, location, and services offered.
Manage official email correspondence and receive/distribute incoming mail, courier packages, and documents.
Office Administration & Coordination
Maintain clean, organized, and welcoming reception, waiting, and meeting area environments.
Coordinate meeting room schedules, arrange refreshments for client meetings, and assist in setting up conferences.
Track and manage inventory for office supplies, stationery, and front-desk documentation.
Assist administrative and accounting teams with basic data entry, photocopying, scanning, and filing tasks.
