Job Summary:
The Back Office Executive will be responsible for performing a range of administrative and data management tasks that are crucial for the smooth and efficient functioning of our business operations. This role requires strong organizational skills, attention to detail, accuracy in data handling, and the ability to work systematically to ensure timely processing and record-keeping.
Responsibilities:
Data Entry and Management: Accurately enter, update, and maintain various types of data into internal systems, databases, and spreadsheets. Ensure data integrity and confidentiality.
Document Processing: Process and manage physical and electronic documents, including scanning, filing, archiving, and retrieving records as required.
Record Keeping: Maintain precise records of transactions, customer interactions, inventory, or other operational data as per departmental requirements.
Verification and Reconciliation: Perform data verification and reconciliation tasks to ensure accuracy and consistency across different records and systems.
Report Generation: Assist in generating routine reports based on collected data for internal analysis and decision-making.
Correspondence and Communication: Handle internal correspondence, prepare basic emails, and communicate with other departments to resolve discrepancies or gather information.
Operational Support: Provide essential administrative support to various departments (e.g., Sales, Operations, Finance, Customer Service) to facilitate their daily functions.
Query Resolution: Address and resolve internal queries related to data, documents, or processed information in a timely and professional manner.
Process Adherence: Strictly follow established operational procedures, guidelines, and company policies to ensure consistency and compliance.
System Utilization: Become proficient in using relevant software applications, ERP systems, or specialized tools required for back-office operations.
Quality and Accuracy: Ensure a high level of accuracy in all tasks performed to minimize errors and rework.
