Responsibilities:
Greeting Visitors: Warmly welcome and greet all visitors, clients, and candidates in a professional and courteous manner. Direct them to the appropriate person or department.
Answering and Managing Phone Calls: Answer incoming phone calls promptly and courteously, screen calls, take messages accurately, and direct calls to the appropriate personnel.
Managing Mail and Deliveries: Receive, sort, and distribute incoming mail, courier deliveries, and packages. Prepare outgoing mail and coordinate courier services.
Maintaining Visitor Log: Maintain a visitor logbook, ensuring all visitors sign in and out and are issued visitor badges as required.
Scheduling Appointments: Assist with scheduling appointments for meetings, interviews, and other engagements. Maintain and manage meeting room bookings.
Providing Information: Answer general inquiries from visitors and callers about the company, its services, and directions.
Maintaining Front Office Area: Ensure the reception area is clean, tidy, and presentable at all times. Maintain adequate supplies of brochures, forms, and other necessary materials.
Basic Administrative Tasks: Provide basic administrative support, such as photocopying, scanning, faxing, and data entry.
Managing Stationery and Supplies: Monitor and maintain office stationery and supplies, placing orders when necessary.
Arranging Travel and Accommodation (If required): Assist with making travel arrangements and hotel bookings for employees or visitors.
Handling Inquiries and Complaints: Listen to and address basic inquiries and complaints, escalating complex issues to the appropriate personnel.
Liaising with Internal Departments: Communicate effectively with various internal departments to relay messages and provide support.
Maintaining Security Procedures: Follow established security procedures for visitor access and building entry.
Communication (Local Emphasis): Communicate effectively and courteously with visitors and callers in Marathi.
